Digital and data
Automatic categorisation
Assigning each document to the right expense or income category and ledger account automatically, based on its content and the user's previous choices.
What Automatic categorisation means
Once the data of a receipt or invoice has been extracted, it has to be classified: which category of expense, which account in the chart of accounts, which VAT treatment, whether it is deductible. Automatic categorisation uses the supplier, the items, the amounts and the history of similar documents to propose the classification, so the user only confirms or corrects it.
Good systems learn from corrections, apply country rules such as blocked input VAT on hospitality or non-deductible representation costs, and recognise recurring suppliers. They also detect duplicates when the same invoice arrives twice by different channels. The proposal is a suggestion, not a legal decision; the user or the accountant remains responsible for the final booking. Kontevia shows the confidence of each proposal and routes uncertain cases for review.
