E-invoicing
KSeF (Krajowy System e-Faktur)
Poland's national e-invoicing system. Structured invoices are issued through the platform and receive an official number that makes them legally delivered.
What KSeF (Krajowy System e-Faktur) means
KSeF is the central clearance platform of the Polish Ministry of Finance. An invoice is created in the FA structured XML schema, sent to KSeF, validated and assigned a KSeF number. From that moment it is considered issued and delivered to the buyer, who retrieves it from the platform. The tax authority sees every invoice in real time.
After a voluntary phase from 2022, the mandate applies to larger businesses from February 2026 and to all other VAT payers from April 2026, with transitional rules for the smallest issuers and for invoices from cash registers. Paper and PDF invoices between businesses stop being valid once the mandate applies. Kontevia is prepared for KSeF: it produces the FA schema, stores the KSeF number with the document and reads invoices downloaded from the platform.
