Receipts by chat: photograph it and it is booked
Kontevia turns a photo of a receipt sent on WhatsApp into a finished accounting document. Within seconds it extracts the amount, date, supplier and VAT breakdown and prepares the export for your accountant. No installation, no retyping.

How it works
Photograph and send
Take a photo of the receipt with your phone and send it as an ordinary WhatsApp message. A PDF invoice or a multi-page document works too.
Automatic extraction
Within seconds you get the breakdown: amount, date, supplier, VAT ID, VAT by rate and a suggested category.
Check and approve
Review the document in the overview and adjust the category if needed. Duplicate receipts are recognised and flagged.
Export to your accountant
Approved documents go out as CSV or Excel that Sage or Xero can import, or through a direct integration.
Why deal with receipts now, not once a month
A paper receipt is the least reliable document in business: it fades, gets lost and by the end of the month nobody remembers what it was for. Most business owners pile receipts up and sort them once in a while, which means an evening of sorting and still a missing document. Yet the only moment you reliably hold the receipt is right after paying.
Kontevia moves the booking exactly to that moment. Photograph and send takes five seconds at the till, and the work with that document is done: extracted, categorised and stored with the original photo. The end of the month is then not about a box of paper but one look at the overview and one click on export.
What it can process
The basis is phone photos of receipts, including crumpled and skewed ones. Alongside those, PDF invoices, screenshots from e-mail and multi-page documents go through. The extraction knows the VAT rates of Malta (18 % standard, 12 %, 7 % and 5 % reduced), the format of local VAT IDs and the common retail chains and abbreviations on receipts.
The original is stored with every document, so you can prove every item in a tax audit. And because you sometimes send the same receipt twice by mistake, a duplicate check runs over every document and warns you before an expense would be counted twice.
Manual processing vs. Kontevia
| By hand | With Kontevia |
|---|---|
| Receipts pile up in a box and a wallet | The document is in the system the moment you photograph it |
| Retyping amounts and VAT into a spreadsheet or software | Extraction within seconds, no retyping |
| Lost and faded receipts at the end of the year | Archive with the original photo attached to every document |
| Handing a bag of paper to the accountant once a month | Export in one click, any time |
Frequently asked questions
How does accounting by chat work?
You send a photo of a receipt or a PDF invoice to Kontevia's WhatsApp number. The system extracts the document (amount, date, supplier, VAT), places it in a category and prepares it for export to your accountant's software. All the work with documents happens in the chat you already have on your phone.
How accurate is the extraction?
The extraction is built for EU documents: it knows the VAT rates and identifier formats of each country and the common retail chains. Every document is shown to you before export and you can correct it, so nothing reaches your books without your check.
Does it handle multi-page PDFs or a batch of receipts?
Yes. A long invoice or a bank statement of dozens of pages goes through. You can send several receipts in a row; each is processed separately and checked for duplicates.
Does it work on a computer too?
Yes. WhatsApp has web and desktop apps, so you can send documents from a computer just like from a phone. Documents can also be forwarded by e-mail or uploaded in the browser. Overviews and exports are in the online dashboard.
Is Kontevia available in Malta?
Yes. Kontevia is in early access for businesses in all 27 EU countries, and receipts and invoices are extracted whatever their language. Country-specific exports and bank connections are most complete for Czechia today.
